OFFICE MANAGER

Reports to: Operations Director

Full-Time Position 

The Center for Civic Innovation is looking for an Office Manager to join our growing team. We are looking for someone who brings energy and passion to any room that they walk into. This person is likely to go right into the eye of a tornado and start putting things in place. This is likely the person in their group of friends that makes all the plans, itineraries, and backup plans, because they always pay attention to the little details. This person’s thoughtfulness shines through everything that they do.

As a member of the Operations team, the Office Manager leads on designing and maintaining the experience of all of the people that we engage within our offices. The Office Manager manages the day-to-day functions and administration at the Center for Civic Innovation. They are also a champion and support for also for our growing staff, ensuring the team has everything they need to accomplish all of our organization’s ambitious goals and deliverables. The Office Coordinator will report to the Operations Director.

The Center for Civic Innovation is a young, nonprofit organization with a mission to invest in and advocate for community-driven solutions that strengthen local policies and programs that address inequality in Atlanta.


KEY RESPONSIBILITIES:

Office Administration:

  • Set the tone for the experience of how all guests and staff enter and feel welcome in the space we work in, from the minute they step in, to when they leave

  • Management of all day-to-day functionality, maintenance, and upkeep of our office space

  • Lead on carrying out the creative vision for how the space is laid out and functions

  • Manage the use of all furniture, equipment/technology (printers, sound system), security, and supplies

  • Lead on all safety planning (including false alarm fire drills), security, maintenance, installations, and repairs

  • Lead on all administrative duties, including everything from choosing the mood music in the space to checking the mail to picking the best snacks possible for our kitchen to placing an order for the coolest sticky notes for our conference rooms

  • Manage the office usage rules and how those rules are communicated

  • Support on accounts receivable/payable, billing, mailing, and accounting

  • Provide support for all CCI events and programs, including setup and cleanup

Relationship Management:

  • Manage relationships with vendors, facilities, and suppliers, making sure we get what we need, but also that they know how much we appreciate how they contribute to our functioning

  • Supporting on showing our supporters, investors, and friends our appreciation. This could include coming up with unique thank you gifts to crafting notes of gratitude on the team’s behalf

  • Lead on making sure everyone on the team feels visible and cared for, from birthdays to celebrating small wins to making sure they know we’re there for them even in the hard times

Communications:

  • Manage the intake of all general public requests and questions

  • Manage requests for use of space, speaking engagements, and program requests event rental to speaking requests, etc.

  • Support on calendar coordination and scheduling with the executive team

  • A strong communicator (written and in-person): this person will often be the person who corresponds with high-level partners, community leaders, entrepreneurs, and fellow staff. This person needs to be on it with timely and professional communications. 

  • Patient and empathetic: In our work, we encounter very diverse audiences, which requires the ability to work across varying working styles and perspectives. You don’t always have to agree with everyone, but it’s our job to remain as open-minded as possible to what others are saying and thinking.

  • Unparalleled flexibility: We work in a fast-paced, ever-changing environment. Surprises come our way all the time, sometimes tough and sometimes amazing. We need someone who can adapt and shift as needed when that happens.

  • Organized, with purpose: Being organized is a great thing, especially when it leads to efficiency and better workflow. We want someone who can make things make sense, not just make things look nice. We want you to be a stickler for detail, even if that means calling out that comma that shouldn’t, be, there.

  • If they don’t see a system, they build one: As a startup, there are always processes or systems that can be stronger.   • Reliable follow-through: our team needs to know they can trust you for your word. When you say you’ll do something, you do it. And if you can’t do it, you say something. This trust is everything to us.

REQUIREMENTS

Previous experience of working in an administrative management position;

  • Excellent interpersonal skills and demonstrated leadership ability;

  • Experience working with a diverse range of people & organizations, able to connect with both community members and decision-makers;

  • Familiarity with Google+ Suite and Microsoft and/or Apple Suite (Word/Paper, Powerpoint/Keynote, Excel/Numbers)

  • Experience of working with new project management software and people/relationship management software

  • Ability to prioritize assignments and demonstrate a high degree of initiative;

  • Time management skills; ability to work under pressure and meet deadlines;

  • Reliable mode of transportation.
